This page explains what the Organized Command client portal keeps about you, why, and who helps us run it.
What we keep
- Your name, email, and job title, as entered when you were invited.
- If you set them up, a password, kept only in a scrambled form that can't be turned back into it, and the key your authenticator app shares with the portal.
- What you add: files, comments, updates, requests, and approvals.
- A history of what happened in your agency’s portal (who completed, approved, or uploaded what, and when), and when you last signed in.
- Your email settings.
The portal must never hold patient information. Don’t upload or type it anywhere here.
How we use it
Only to run the portal and do the work your agency hired us for: showing your plan and board, sending sign-in codes and portal emails, and keeping a record of the project. We don’t sell it, we don’t show ads, and the portal has no analytics or tracking.
Who sees it
The people your agency invites, and Organized Command staff. Some items are marked internal; only Organized Command staff see those. No other agency can see your portal.
Services that help run the portal
- Supabase stores the portal’s data and files and handles sign-in (United States).
- Render hosts the website (United States).
- Amazon Web Services sends the portal’s emails.
- Sentry receives reports of errors on our servers, with names, emails, and other personal details removed.
Cookies
One cookie keeps you signed in. Organized Command staff also get one that remembers when they’re previewing a client’s view. There are no advertising or tracking cookies.
Sign-in codes, invites, and emails that need you to act always go out. You can turn off the others (comment and update digests, overdue reminders, and similar) from Settings in the portal. You also get an email when your password changes or an authenticator app is added or removed.
How long we keep it
For as long as your agency works with us. After that, its portal is archived and kept unless your agency asks us to delete it.
